Calls are set up as tasks in the following workflows to follow up and meet the goals at a higher rate. The Guest Concierge (Assistant) can make these calls.

Create a Document for the call scripts, make it shareable, and add the link URL to the Custom Values to empower the outbound caller with what to say when making these calls.

Stages 1.00 (Potential Guest) and 1.01 (Referral)

Goal: Get a "yes" to be a guest, in which case, add the "force stage 2" tag to the contact. If "no," add the "not interested in being a guest" tag to the contact.

Any contact still in this Stage has not yet been reached. One text also goes out in this stage.

Call 1: This is to follow up on the emails that have gone out inviting the Contact to be a guest.

Call 2: This is another follow up call.

As soon as any positive contact is made in Stage 1.00 or 1.01, the "force stage 2" tag can be added. This includes:

  • "I didn't get your email - can you please send me information?"

  • "I did get your email and am interested - what's next?"

  • "I'm not sure what you're talking about."

As soon as the "force stage 2" or "interested in guesting - send intake form" tag is added, a warm email sequence goes out.

Stage 2 (Showed Interest)

Goal: Submit the Intake Form

Call 1: After the 3rd Stage 2 email

Call 2: After 4th Stage 2 email

Stage 3 (Submitted Intake Form, Hasn't Booked Yet)

Goal: Schedule the Interview

Call 1: After the 3rd Stage 3 email

Call 2: After the 4th Stage 3 email (Last Call)

Stage 5.01 (Rebooking after Cancellation or No-Show)

Goal: Schedule the Interview

Call 1: After the Final (2nd) Email and (1) Text

Create a Guest Booking Concierge Call Script in a single document, then enter it into the Settings > Custom Value = "Guest Invitation Follow Up Call Scripts URL"
